Class Pass & Payment Policy

Payment & Class Passes

All classes must be paid in full upfront.

Individual Use: Each class pass is issued to one participant only and cannot be shared between siblings, parents, guardians or other participants.

Transferability: Class passes are transferable in full to another person, subject to approval by The Ballroom Company. Individual classes from a pass cannot be transferred or shared between multiple people.

Expiry: All class passes must be used within 3 months from the date of purchase. This includes all 10-class passes.

Refunds: Class passes are non-refundable.

Students must provide proof of purchase, including their order number and name, at check-in before class begins. 10-class passes are manually tracked and marked off after each class.

Private Lessons

Private lessons are paid in full upfront and require advance booking.

Cancellations & Rescheduling

  • 24 hours or more notice: Your lesson can be cancelled or rescheduled without a fee.

  • Less than 24 hours' notice: A $50 cancellation/rescheduling fee applies.

  • No-show: The full lesson fee is forfeited.

Health & Safety

Medical Responsibility

Students are responsible for their own health and fitness and must inform instructors of any medical conditions, injuries, physical limitations or other relevant circumstances that may affect their participation.

Illness Policy

Students must not attend class if they have a contagious illness. This helps protect students, instructors and the wider dance community.

Supervision

Parents and guardians are welcome to stay and observe classes.

Students remain the responsibility of their parent or guardian outside scheduled class times. The Ballroom Company instructors are not responsible for students before class begins or after class finishes.

Parent/Guardian Responsibility for Minors

Parents or guardians are responsible for supervising any siblings or other minors who are not enrolled in the class and ensuring they do not disrupt students or instructors.

Only enrolled students and instructors may use the dance floor during class.

Parents and guardians are also responsible for ensuring students arrive on time and are ready for class.

Property Damage

The Ballroom Company is not responsible for loss, theft or damage to personal belongings brought onto the premises.

Anyone who causes damage to studio property, equipment or facilities may be responsible for repair or replacement costs. Parents or guardians may be held responsible for damage caused by their child.

All guests are expected to treat the studio, staff, other students and property with care and respect.

Food & Drink

Food and beverages are strictly prohibited on the dance floor.

Water bottles are permitted only in designated areas, unless otherwise approved.

Students and parents are expected to clean up after themselves before leaving. Everyone shares responsibility for maintaining a clean, safe and hygienic environment.

Studio Policies & Etiquette

Uniform & Grooming

Students should wear comfortable clothing that allows free and safe movement.

Shoes must be secure, comfortable and suitable for dancing. Ballroom dance shoes are recommended for Medal Classes but are not essential.

Clothing and grooming should be neat, tidy and appropriate for a respectful dance studio environment.

Punctuality

Students should arrive 5–10 minutes before class to allow time for check-in, preparation and warm-up.

Being on time helps maintain a respectful and focused learning environment for students and instructors.

Behavioural Standards

All students, parents, guardians and visitors must behave respectfully at all times.

  • Respect: Treat staff and other students with kindness and respect.

  • No Bullying: Bullying, harassment or negative behaviour will not be tolerated.

  • Positive Environment: Everyone is expected to help maintain a safe, supportive and inclusive environment.

  • Consequences: Serious or repeated misconduct may result in a warning, suspension or removal from the studio.

  • Parents & Guardians: Parents and guardians are expected to communicate respectfully and support these standards.

Privacy, Photography & Video

Photo & Video Consent

By participating in classes or studio activities, students, or their parent/guardian where applicable, consent to The Ballroom Company capturing and using photographs and video recordings for promotional purposes, including social media, website content and marketing materials.

These images and recordings may be used to celebrate student achievements, showcase activities and promote The Ballroom Company's programs.

Opt-out: If you do not wish to be included in photographs or videos used for promotional purposes, please notify The Ballroom Company in writing.

Photography & Video Recording During Classes

Students, parents and visitors must not photograph or record video during class time unless approved by The Ballroom Company.

This includes recording your own child.

Choreography Ownership

Choreography taught, created or performed within The Ballroom Company remains the intellectual property of The Ballroom Company and/or its instructors.

Choreography may not be reproduced, shared, taught, recorded, distributed or performed outside the studio for commercial or teaching purposes without prior written permission.
