Terms and Conditions
Class Pass & Payment Policy
All classes must be paid in full upfront.
Class passes are non-refundable but transferable, and must be used within 6 months from the date of purchase. This includes 10-class passes, which are valid for use within the same 6-month period. Students must provide proof of purchase (order number and name) at check-in before class begins. 10 class passes are manually tracked and marked off each week.
Private lessons require advance booking and are non-refundable. Cancellations with at least 24 hours’ notice may be rescheduled. Late cancellations or no-shows will be forfeited.
Classes are subject to cancellation if, 24 hours prior, fewer than five students are enrolled. In that case, class fee will be fully refunded.
Health and Safety
Medical Responsibility: Students are responsible for their own health and fitness and for informing instructors of any limitations
Illness Policy: Prohibits attendance if a student has contagious illnesses.
Supervision: Parents/guardians are welcome to stay and watch classes. Students remain the responsibility of their parent/guardian outside of scheduled class times. The Ballroom Company instructors are not responsible for students before class starts or after class finishes.
Parent/Guardian Responsibility (for minors): Parents or guardians must supervise any siblings or minors not enrolled in the class and ensure they do not disrupt students or teachers. Only enrolled students and instructors may use the dance floor during class. Parents/guardians are also responsible for ensuring students arrive on time and are ready for class.
Property Damage: The Ballroom Company is not responsible for any loss, theft, or damage to personal belongings brought onto the premises. Any person who causes damage to studio property, equipment, or facilities may be held responsible for repair or replacement costs.Parents/guardians are responsible for any damage caused by their child while on the premises. All guests are expected to treat the studio and its property with care and respect.
No Food or Drink on Dance Floor: Food and beverages are strictly prohibited on the dance floor to maintain cleanliness, prevent damage, and ensure dancer safety. Water bottles are permitted only in designated areas, unless otherwise approved. All students and parents are expected to clean up after themselves before leaving the studio. The studio is a shared space. Everyone is responsible for helping maintain a clean, safe, and hygienic environment.
Studio Policies and Etiquette
Uniform & Grooming: Students must wear comfortable clothing that allows free and safe movement during class. Shoes must be secure, comfortable, and suitable for dancing. Ballroom dancing shoes are recommended for medal classes but are not essential. Clothing and grooming should be neat, tidy, and appropriate for a respectful dance studio environment.
Punctuality: Students are expected to arrive at least 5–10 minutes before class to allow time for check-in, warm-up, and preparation. Punctuality is part of maintaining a respectful and focused learning environment for all students and staff.
Behavioural Standards: All students, parents, and visitors must behave respectfully at all times. Respect: Treat staff and other students with kindness and respect. No Bullying: Bullying, harassment, or negative behaviour of any kind will not be tolerated. Positive Environment: Everyone should help maintain a safe and supportive space. Consequences: Misconduct may result in warnings, suspension, or removal from the studio. Parents/Guardians: Must also communicate respectfully and support these standards.
Privacy Policy
Photo and Video Release: By participating in classes or studio activities, students (or their parent/guardian) consent to the studio capturing and using photographs and video recordings for promotional purposes, including social media, website content, and marketing materials. This content plays an important role in sharing our students’ achievements, celebrating their progress, and helping us promote our programs to the wider community.
**If you prefer not to be included, please notify the studio in writing to arrange an opt-out
Photography & Video Recording Policy: No video recording or photography during class time unless approved by The Ballroom Company. This includes recording your own child.
Choreography Ownership: All choreography taught, created, or performed within the studio remains the intellectual property of the studio and/or its instructors. Choreography may not be reproduced, shared, taught, or performed outside the studio without prior written permission.
